Position Overview
The Advancement Coordinator is an integral member of the dynamic PJ Library Advancement team. Reporting to the Chief of Philanthropy, the Advancement Coordinator will provide support for Philanthropy Officers and leadership in their fundraising efforts. Support will include the coordination of small and mid-size regional donors and prospective outreach events throughout the country, as well as providing important administrative donor support to ensure timely communications and accurate record keeping. Essential to building and sustaining stakeholder relationships, the Advancement Coordinator will ensure that the Philanthropy Officers (POs) and leadership are equipped with the materials, information, and support they need to build relationships with key prospects and major donors. The coordinator will also manage, and coordinate events, gatherings, and experiences PJ Library hosts or sponsors. The role will also ensure strategic partnerships and specific individual external stakeholder relationships are tracked, stewarded, and maximized to meet organizational goals.
This is a full-time position based in PJ Library’s New York office in midtown Manhattan.
Responsibilities
Philanthropy Officer Support
- Manage advancement team travel calendar – update with the latest fundraising events, major partnership gatherings, leadership travel, and other relevant major gift fundraising events.
- Manage the flow and support of PO and Leadership requests within the advancement team for meeting prep, follow up, and stewardship.
- Manage a request tracker and be responsible for gathering or coordinating the materials needed for individual meetings and events.
- Work with the advancement team to ensure all materials, information, and other follow-up needs are provided in a timely and organized manner.
- Through strong relationships with the Director of Grants Management and the Advancement team, maintain a strong knowledge of the resources that are available and up to date for POs to provide quick responses to donors, e.g. program information from the latest grant reports and proposals, printed materials available, the best PJ Library books for sharing, etc.
- Work with the Deputy Director of Advancement Officer to maintain the menu of philanthropic opportunities and ensure it stays up to date.
- Organize program updates for POs to share with prospects and donors based on topic themes.
- Work with the PJ Library Deputy Director to organize bullets on the latest program highlights twice a month to share with team advancement.
- Stay current on all PJ Library channels to keep the advancement team up to date on.
Donor Activity Support
- Have a strong understanding of the Raiser’s Edge NXT system and procedures
- In partnership with the Database Administrator pull or request reports for Chief of Philanthropy and the Deputy Director of Advancement, Director of Grants Management and Pos.
- With the Chief Philanthropy Officer and Director of Grants Management, guide and reinforce the moves management process at PJ Library by leading frequent meetings with fundraisers to assign new prospects, match prospect interests to fundraising priorities, and ensure prospect strategy is front and center.
Events & Trips
- In partnership with the Philanthropy Officers, project manage of donor events around the country (and virtually), handling communications, logistics, speaker management, technical support, and follow up.
- Create events in the database through the event module so all events can be tracked and there is correct follow up.
- Lead event execution, provide operational and/or technical leadership during in-person and virtual events to develop and execute excellent events while deepening those relationships.
- In partnership with the relevant Executive Assistants, coordinate donor roadshows/trips for leadership (the President, COO, Executive Director of PJ Library, and possibly the Founder) to ensure trips are of the highest quality, well run, and optimize the time of the team for the best fundraising outcomes.
- Manage a trip tracker to coordinate individual meetings and events when leadership is traveling to a specific place.
- Ensure meetings are coordinated, facilitate follow-up conversations after trips, and ensure all notes are properly recorded in data base.

Qualifications
- Bachelor’s degree preferred or equivalent combination of relevant education, certification, training, and experience.
- Superlative organizational skills with impeccable attention to detail.
- Outstanding written and verbal communications skills.
- Excellent interpersonal skills; ability to work collaboratively and independently.
- Strong time management skills with the ability to juggle multiple projects at once.
- Creative thinking and problem-solving skills.
- Calm under pressure in the fast-paced environment of events.
- Proficiency in CRM, preferably Raiser’s Edge.
- Knowledge of web and social media technologies.
- Knowledge of Jewish community and Jewish communal organizations
Experience preferred
- At least four years of experience in advancement work, preferred.
- Experience in event planning or a related field; nonprofit donor related event experience preferred.
- Track record of building strong and productive stakeholder relationships.
- Experience managing projects with many details and evolving timelines.
Physical Requirements
- Must be able to stand and walk for long periods of time during in-person events.
- Must be able to lift up to 25 pounds at times.
- Ability to travel 10-20% of the time.
- Ability to travel for 4 – 6 times per year for multi-day events across the US.
- Ability to staff evening and weekend events, when necessary.
Location
This is a hybrid role from our office in New York City. Hybrid employees are expected onsite 60% of the time.
Compensation
A competitive salary ranging from $75,000–$82,000 annually commensurate with experience.
