Grants Associate

The Harold Grinspoon Foundation (HGF), located in Agawam, MA, is seeking a full-time Grants Associate. This position will support current operational activities of the Grants department.



HGF seeks to further the realization of the religious and ethical principles and aspirations of Judaism via its flagship programs: PJ Library; JCamp 180, Life & Legacy, and Western Massachusetts Programs, through grants to eligible individuals and organizations. The largest of the programs, PJ Library, provides families with high-quality children's books, music, and other resources that foster Jewish learning and create a gateway for deeper engagement in Jewish life. 

Position Overview

Under the supervision of the Grants Manager, the Grants Associate supports various administrative and financial functions related to grants management within the Foundation. The Grants Associate plays an important role in supporting the fulfillment of this goal. The Grants Associate interacts with other staff, grantees, auditors, vendors, and other external partners. 

Responsibilities

Responsibilities include, but are not limited to:

Grants Administration:

  • Entering data and maintaining the Blackbaud Grantmaking database
  • Delivering exceptional customer service to grant recipients, organizations, and internal staff members
  • Processing and tracking payment requests and grant disbursements
  • Uploading, scanning, and attaching documents to records in the database
  • Inviting applicants for funding on behalf of Program and Engagement teams, communicating all necessary requirements and deadlines to the applicant
  • Tracking and following-up on narrative and financial reports, and any other outstanding documentation
  • Generating payment transmittal letters and sending checks to grantee partners
  • Drafting and sending regular mail and email communication on behalf of the grants department
  • Collaborating with programs and other departments to develop grant guidelines, applications and reporting requirements
  • Coordinating grant budget and expense tracking processes
  • Preparing monthly grant reports for leadership

General Administration:

  • Providing technical support to staff and grantees related to the grants management system
  • Serving as primary contact for telephone, paper, and electronic grant inquiries
  • Assisting the Grants Manager and CFO with administrative support as needed
  • Supporting the grants and accounting team with financial and administrative projects
  • Performing other duties and responsibilities as requested or assigned
 

Required Skills and Experience

Education:

  • Bachelor’s degree is preferred

Experience:

  • Minimum of three years of administrative and customer service experience, must be comfortable with technology.
  • Experience with Blackbaud Grantmaking preferred
