Operations Associate

Position Overview

Reporting to the Operations Manager, the Operations Associate supports the data and warehouse teams. This role is part of a cross functioning team that prides themselves on execution and making things run smoothly and seamlessly for all of the Harold Grinspoon Foundation’s programs. This is a full-time position that requires in-office work in Agawam 5 days a week. 

Responsibilities of this position include, but are not limited to:

  • Take delivery of books and marketing materials
  • Receive and fill requests from inventory
  • Research and resolve inaccuracies in inventory
  • Maintain multiple inventory databases (Microsoft Dynamics & Access)
  • Maintain data entry/tracking of deliveries and requests
  • Monitor book inventory on office shelves and replenish as needed
  • Perform physical counting at warehouse(s)
  • Ensure cartons are properly marked
  • Pack and process small shipments from main office
  • Maintain good relationships with multiple mail houses
  • Work productively and professionally with multiple departments
  • Keep the home-office warehouse clean, organized, and safe


  • Highly organized and detail oriented
  • Able to manage multiple tasks concurrently and ability to prioritize accordingly
  • Strong time management skills
  • Comfort working with an online database
  • Experience working well individually and as part of a team
  • Ability to communicate effectively, both verbally and in writing
  • Valid driver's license
  • Must have own vehicle to make occasional trips between Agawam, MA and Enfield, CT

Preferred Skills

  • Experience with Microsoft Suite, including Access & Excel, Microsoft NAV, and Salesforce.

Physical Requirements

While performing the duties of this job, the employee is regularly required to walk, use hands to handle or feel objects, tools or controls, frequently talk or hear, reach with hands and arms and frequently required to stand, stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move items weighing up to 40 pounds.
