Executive Assistant

The Harold Grinspoon Foundation, a results-driven, entrepreneurial non-profit organization headquartered in Agawam, Massachusetts, is seeking an Executive Assistant for its Manhattan office. PJ Library is HGF’s award-winning Jewish family engagement program that strengthens Jewish identities and serves as an outreach and family engagement vehicle for Jewish organizations.



General Description:

The Harold Grinspoon Foundation (HGF) is seeking an Executive Assistant who will serve as the Assistant to two HGF executives: the Chief Partnerships Officer (CPO) and the Director of PJ Library in New York (“Director”). This position will be an integral part of two fast-paced and dynamic teams with responsibility for critical administrative duties as well as support key donor, partner, and family relationships.

Major Responsibilities

Executive Support

  • Manage CPO's and Director's calendars; schedule meetings on their behalf and coordinate meeting logistics (location, food, etc.)

  • Book domestic and international travel, manage all intervening logistics

  • Complete and submit expense reports for CPO and Director

  • Track deadlines and assist in completion as needed

  • Support Director to track fundraising activity in Raisers Edge

  • Help to plan and execute team meetings, events, recognition, and celebration

Relationship management

  • Correspond with donors and partners to schedule on CPO and Director's behalf

  • Draft correspondence and prepare ad hoc mailings to bolster relationships with donors, partners, and families

  • Compile and/ or prepare materials for meetings, as needed

  • Facilitate follow-up from meetings, events, and trips

  • Support and staff events as needed

Office Coordination

  • Receive office visitors and telephone calls; serve as the first point of contact for visitors, vendors, and building management

  • Process mail, including shelving and displaying new PJ Library books each month

  • Order supplies and light food and drinks for the office

Skills and qualifications

  • Must have a minimum of 2 years of experience as an Executive Assistant or related professional experience.

  • Demonstrate ability to work individually, with a team, and partner effectively with executives of different workstyles

  • Be extremely detail-oriented with strong organizational and written/oral communications skills

  • Possess strong time management skills with the ability to juggle multiple projects at once

  • Operate with excellence in Microsoft Office products, especially Excel, Outlook, PowerPoint, and Word

  • Able to maintain sensitive information with the utmost discretion

  • Proactive; thrive in a fast-paced environment

  • Knowledge of Raisers Edge preferred

  • Interest in or knowledge of Jewish community preferred
